Grow a VIP SMS list with keywords and QR codes
The outcome of this guide is a growing VIP list of customers who asked to hear from you by text, built two ways: a keyword people can text to join, and a QR code and hosted form for in-store and print. You will finish with a real list you can send an offer to from Compose, collected with proper consent so it stays compliant and worth having. A small list of people who opted in beats a big list of people who did not.
Keywords, opt-in forms, and dynamic segments are Premium features. Contacts, campaigns, and the compliance machinery run on every plan.
What you need first
- An SMS365 workspace on a plan that includes keywords and opt-in forms.
- A dedicated number under Add-ons, about $10 per month, so people can text your keyword to a number that belongs to you and replies come back two-way.
- Prepaid credit topped up under Billing.
- A clear idea of what a VIP gets. People join a list for a reason, so decide the offer, early access, member prices, whatever it is, before you ask anyone to sign up.
Consent is the whole point. Only add people who genuinely opted in, tell them what they are signing up for and how often, and make leaving easy. Every marketing message needs a working unsubscribe, and under the Spam Act that mechanism has to actually work. A list built the right way is an asset, and a list built the wrong way is a liability.
Step by step setup
- Create the VIP list. In Contacts, create the list your new subscribers will land in, for example "VIP offers". Everything below feeds into it.
- Set up the keyword. Go to Settings then Keywords and sign-ups and create a keyword rule. Pick a short word people can text, such as VIP. Set the action to subscribe, choose double opt-in so a joiner confirms before they are added, and point it at your VIP list. Write the reply the keyword sends back.
You are almost on the list. Reply YES to join Kingsway VIP for member prices and early access, about two texts a month. Reply STOP any time to leave.
- Choose single or double opt-in. Double opt-in asks the joiner to confirm, which gives you a cleaner list and a clear record of consent. Single opt-in is one step and grows faster. For a marketing list, double opt-in is the safer choice, and it is worth the extra tap.
- Build the hosted opt-in form. Create an opt-in form. It comes with its own public link and a live QR code. Choose the same VIP list as the destination and write the confirmation SMS the form sends after someone signs up. This is your online and in-print door, alongside the keyword.
Welcome to Kingsway VIP. You will hear about member prices and early access, about twice a month. Reply STOP any time to leave.
- Put the QR code where people are. Take the form's QR code and put it on the counter, the receipt, the window, and any flyer. The QR code is live, so it always points at the current form. Add a line of text telling people why to scan, because a bare QR code gets ignored.
- Promote the keyword. Print "Text VIP to [your number] for member prices" wherever the QR code does not fit, on radio, on a business card, in an email footer. A keyword works where a scan is awkward, such as when someone is driving or listening.
- Send to the list. Once people are joining, send your first offer from Compose to the VIP list. On Premium you can build a dynamic segment from rules, for example VIPs who joined in the last 30 days, and send to just that group.
What the customer sees
A customer at the counter sees a small card: "Text VIP to 04xx xxx xxx for member prices, or scan here." They text VIP. Seconds later they get the confirmation asking them to reply YES, and once they do they are on the list with a welcome:
You are in. First member offer lands next week. Reply STOP any time to leave.
A week later that offer arrives, sent from Compose to the whole VIP list:
Kingsway VIP: 20% off any service booked this week, members only. Reply here or call to grab a slot. Reply STOP to leave.
Because every subscriber asked to be there, open rates are high and complaints are near zero. The unsubscribe works, so anyone who wants out is gone in one reply and stays off future sends.
Test it before you launch
From your own phone, text the keyword to your dedicated number and walk the whole join flow: the confirmation reply arrives, replying YES adds you to the VIP list, and the welcome SMS lands. Then scan the QR code, complete the hosted form, and confirm that also lands you on the list with the confirmation SMS. Finally, reply STOP and confirm you are removed and that a later send to the list skips you. If any step does not behave, fix it before a single flyer goes out, because a broken join or a broken STOP is the one thing you cannot undo in front of customers.
How this fits together
The strategy behind keyword campaigns, choosing the word and promoting it, is in keyword campaigns and text to join. The QR code side, where to place it and how to get scans, is covered in QR code SMS sign-ups. And because a list is only worth having if it is built properly, building an SMS subscriber list legally is the one to read before you promote anything. To weigh the cost of running a VIP list against what it brings back, the prepaid pricing page has no lock-in, so you can start small.
An honest word on delivery
SMS365 marks a message "sent" when it has been handed to the carrier, and "delivered" only when a genuine delivery receipt returns. For a VIP list the more useful signal is engagement: replies, and clicks on any tracked link in your offer, which are counted per click so the number is real rather than estimated.
Once this is running, your list grows on its own from the counter, the receipt, and the flyer, every subscriber is someone who chose to be there, and a single message from Compose reaches a room full of people who actually want to hear from you.
